What is a debtor's balance and how is it settled?

When a debtor has a balance with OWNER Pay and how that balance is settled or refunded.

Can a payment not be (fully) matched to an outstanding sales invoice, or are you crediting a paid sales invoice? Then the debtor gets a balance. This is how that balance is settled.

OWNER Pay is being replaced by OWNER Wallet (expected end of 2026). You keep the same account; your account just needs to be verified again.

How does a balance arise?

How is the balance settled?

SituationWhat happens?
Sales invoices are outstandingWithout a reference or with an incorrect one, the payment is matched according to the fixed order: exact amount, otherwise the oldest sales invoice first. See How does OWNER Pay match a bank transfer?.
Nothing is outstandingThe amount remains as a balance and is automatically settled against the next new sales invoice for this debtor.
No new sales invoice followsThe balance is refunded automatically. See What happens to a payment that can't be matched?.

Where do you see the balance?

  1. Open the debtor (the person or the company).
  2. On the left you see the linked bank accounts. Click a bank account.
  3. You see all transactions, what they were applied to and how much balance is still available.

Frequently asked questions

The sales invoice was sent from the wrong owner. What now?

Did the tenant pay to the account number they know, but was the sales invoice sent from the wrong owner? Credit the sales invoice and create a new one under the right owner. OWNER then automatically settles the balance against the new sales invoice.

Can I have the balance refunded?

Yes. Read How does a refund work?.
