How does OWNER Pay match a bank transfer to a sales invoice?

How OWNER Pay recognizes a bank transfer and matches the payment to the right sales invoice.

When a debtor pays by bank transfer, OWNER Pay automatically matches the payment to one or more outstanding sales invoices. Here's how that works.

OWNER Pay is being replaced by OWNER Wallet (expected end of 2026). You keep the same account; your account just needs to be verified again.

Unique account number per debtor

With OWNER Pay, each debtor gets their own unique account number. That number belongs to exactly one combination of debtor and the owner sending the sales invoice, and it's shown on the sales invoice.

That way, OWNER Pay always knows which debtor a payment is for, even if:

  • the sender's name is different;
  • the payment comes from a different bank account;
  • the description is empty or unclear.

In what order are payments matched?

StepWhat does OWNER Pay do?
1. ReferenceIf the debtor includes a reference that exactly matches one outstanding sales invoice, the payment is matched to that sales invoice.
2. Exact amountNo usable reference? Then OWNER Pay looks for a combination of one to five outstanding sales invoices from this debtor that together add up to exactly the amount paid. If there are multiple combinations, OWNER Pay chooses the smallest group; if they're the same size, the group with the oldest sales invoices.
3. Oldest firstIf there's no exact combination, as many full sales invoices as possible are paid, starting with the oldest.
4. BalanceIf there's money left over after that, it becomes a balance for the debtor. See What is a debtor's balance?.
