Peppol

Sending sales invoices via the Peppol network

With Peppol, you send sales invoices directly to your customer's accounting package instead of by email. In this article, you'll read what Peppol is, how to set it up and what to do if a sales invoice doesn't arrive.

What is Peppol?

Peppol is the network for e-invoicing. A sales invoice you send via Peppol doesn't arrive by email, but directly in the recipient's accounting package. To do this, an XML file is sent to the recipient, which their accounting package reads in.

By emailVia Peppol
Where does the sales invoice arrive? In the recipient's mailboxDirectly in the recipient's accounting package
File formatPDFXML (the accounting package creates its own display of it)
Where does it work?EverywhereIn all countries where you use OWNER, not just in Belgium
Something goes wrong?–You automatically get a warning on the sales invoice, with the reason

The Peppol integration is provided for OWNER by Maventa.

How to set up Peppol

Step 1 – Connect the Peppol app

  1. Go to Settings and, in the environment settings, open Connected apps.
  2. Add Peppol via the marketplace.

Step 2 – Choose Peppol as the sending method

You choose Send via Peppol in one of these two places:

  • On a rental contract – all sales invoices for that contract are then sent via Peppol.
  • On an individual sales invoice – only that sales invoice is sent via Peppol.

Step 3 – Check the recipient

OWNER looks up the recipient on the Peppol network, first by the Peppol ID and otherwise by the KVK number (Dutch Chamber of Commerce number) or VAT number. For business customers, enter the Peppol ID wherever possible; see Finding the recipient.

Frequently asked questions

Setting up

I don't see the Peppol sending method.

The app hasn't been connected yet. Go to Settings → Connected apps and check whether Peppol is listed. If not, add the app via the marketplace.

Can I choose Peppol per rental contract or per sales invoice?

Both are possible. On a rental contract, all sales invoices for that contract are sent via Peppol; on an individual sales invoice, only that one.

Does Peppol only work in Belgium?

No. Peppol works in all countries where you use OWNER.

Finding the recipient

How do I enter a customer's Peppol ID?

Sometimes a customer can't be found by KVK or VAT number, but only by their Peppol address: a numeric code, a colon and the recipient's number, for example 9925:BE0123456789.

  1. Ask your customer for their Peppol address.
  2. Open the customer and enter it in the Peppol ID field.
  3. Send the sales invoice again via Peppol.

How does OWNER look up the recipient on Peppol?

First by the Peppol ID. If that field is empty, by the KVK number and then by the VAT number.

My customer says they didn't receive an email with the sales invoice.

That's correct: via Peppol, the sales invoice doesn't arrive by email, but directly in the recipient's accounting package. Ask your customer to look there.

Sending and checking

Can I see whether sending via Peppol was successful?

Yes. If it fails, you automatically get a warning on the sales invoice, with the reason. You also see warnings in the list of sales invoices. Sales invoices marked as delivered really have been delivered.

A sales invoice doesn't arrive via Peppol.

Go through these points:

  1. Check whether there's a warning on the sales invoice and read the reason. Do multiple customers have the same warning? Compare that with the customers who didn't receive anything.
  2. Check the recipient. Can't be found? Enter the Peppol ID.
  3. Check the invoice date and due date; see the next question.
  4. Send the sales invoice again via Peppol.

A sales invoice is rejected if the invoice date and due date are on the first of the month.

Some accounting packages reject a sales invoice if both dates are on the first of the month. OWNER can't change the dates, because the data sent must match the sales invoice exactly. So don't choose the first of the month as the invoice date; choose the sending date instead, for example.
