Rent Invoicing

OWNER Pay makes automatic invoicing, indexing, and tracking of rent payments easy. It offers tenants multiple payment methods and automatically tracks all payments, also reminding tenants of due payments.

What is it?

By entering your rental contracts into OWNER, they are automatically invoiced and indexed, with payments accurately tracked. Late payments are automatically reminded. When creating a rental contract, we ask for all relevant details such as:

  • Start date
  • Terms
  • Indexation date
  • Indexation method
  • Amounts to be invoiced


You can input not only current amounts but also future adjustments, so rent increases or decreases are processed automatically. Different types of costs can be specified, such as rent, service charges, and furnishing costs. If something is missing, you can easily add it yourself.

Why do you need it?

Some managers say, "I don't invoice my rent, I just check my bank account." While this is feasible with a small number of properties, it's better to enter contracts and invoice. Invoicing helps you keep track of paid and unpaid invoices and allows you to send automatic reminders for outstanding invoices.

Moreover, OWNER Pay offers your tenants more payment options, such as direct debit, iDEAL, bank transfer, Apple Pay, Google Pay, and more. Upon receipt of the rent, you receive an automatic notification, and your tenants can see in the OWNER app that they have paid. Don't forget the annual indexation, a task that isn't always simple, especially if it occurs mid-month. OWNER calculates this automatically for you. Your tenants receive a neat announcement of the indexation, and the rent prices in the contract are automatically adjusted, ensuring smooth invoicing. This way, you ensure accuracy and transparency in the rental administration, benefiting both you and your tenants. OWNER provides a streamlined and error-free handling of both invoicing and indexation, saving you time and maintaining your financial overview.

How does it work?

Through the Contracts module, you can easily create a new rental contract. During this process, the identity of the tenant(s) and the unit(s) to be rented are required. The start and possible end date of the contract are also important to determine when the first and last invoice should be sent. If it concerns an existing contract previously invoiced through another system, you can specify this during input.

To indicate the remaining contract duration, you can enter a renewal formula for both the tenant and the landlord. This determines the minimum contract duration for both parties. We use this information to generate a rent list where you can oversee the durations of all your contracts. Push notifications are sent to inform you about contract renewals.

If you want your contract to be automatically indexed, fill in the relevant details in the contract. Also, specify which invoice items should be indexed, for example, only the item 'Rent'.

In the invoice items section, you specify the amounts to be invoiced and their timing. By assigning start and end dates to the invoice items, you can easily input rent discounts and increases.

Have you entered the contract? Click 'Save.' A pop-up will appear asking you to check the first scheduled invoice. If you approve it, the invoice will be automatically sent to your tenant on the scheduled date.
