How do management invoices work?

As a property manager, you invoice your management fee from your manager environment, based on a management contract.

If you're a property manager, you invoice your management fee to your clients with management invoices. You create them in your manager environment, based on a management contract.

Manager environment and real estate environment

EnvironmentWhat does it contain?
Real estate environmentA client's property: units, rental contracts and sales invoices to tenants.
Manager environmentNo property, but your management contracts. You connect your clients' real estate environments to it. You send management invoices from here.

The management contract

In a management contract, you record:

  • Manager: on whose behalf you invoice;
  • Managed environment and the Units covered by the contract;
  • Clients: the client you invoice. This is a company or person in your manager environment;
  • Start date, Billing interval and Start billing;
  • the fee: a fixed amount per building per month, or a percentage of the invoiced revenue of categories you choose.

In the manager environment you have property managers, just as you have owners in a real estate environment. The management invoice is sent on behalf of the property manager.

Fee as a percentage

If you choose a percentage, you also choose which categories it applies to. Every sales item belongs to a category, so all sales items in that category count.

Example: you charge 5% of the Rent category. OWNER then charges a 5% management fee on all sales invoices invoiced for rent in that period.

When are management invoices created?

Management invoices are created afterwards, for the past month, the past quarter or the past year. On the first of the month, OWNER determines what needs to be invoiced for the previous period and prepares the management invoice.

After that, it works just like sales invoices for rent: depending on your setting, the management invoice goes out automatically, or you approve it yourself first. See How does automatic invoicing work?
