How do I process OWNER Pay in my accounting?
Keep your own accounting package up to date with the journal entry from OWNER and the batch payments.
Do you use OWNER Pay alongside your own accounting package, for example for your VAT return or annual accounts? Then you keep that package up to date with the journal entry from OWNER. Here's how.
OWNER Pay is being replaced by OWNER Wallet (expected end of 2026). You keep the same account; your account just needs to be verified again.

How does it work?
With OWNER Pay, OWNER processes your tenants' payments. Outstanding items are tracked in OWNER. In your accounting package, you therefore only post:
- the journal entry with your sales invoices per period;
- the batch payments that OWNER Pay pays out to your bank account.
You can find the journal entry under Insights > Journal entries.
Setting up your accounting package once
Step 1 – Create a journal
Create a general journal named OWNER Journal.
Step 2 – Create ledger accounts
- OWNER Debtors: for the debtors from OWNER.
- Suspense account paid outside OWNER: for payments made outside OWNER, such as cash payments or transfers directly to your own account.
Posting the journal entry
Step 1 – View the journal entry in OWNER
Open Insights > Journal entries, choose the owner and the year and click Generate. You see the amounts for the period per group. An example for January:
| Group | Item | January |
|---|---|---|
| Debtors | Debtors | €1,391.50 |
| VAT | 21% | €241.50 |
| Rent (21%) | Rent | €1,000.00 |
| Service costs (21%) | Service costs advance | €100.00 |
| Other (21%) | Other | €50.00 |
Step 2 – Create a general journal entry
- In your accounting package, create a general journal entry in the OWNER Journal journal.
- Choose the last day of the month or period as the posting date.
- Post the Debtors line to the OWNER Debtors ledger account.
- Post the other lines (such as rent, service costs and VAT) to the right ledger accounts.
- Check that debit and credit are equal.
This is what the entry for January looks like:
| Date | Ledger account | Debit | Credit |
|---|---|---|---|
| 01-31 | XXXX – OWNER Debtors | €1,391.50 | – |
| 01-31 | XXXX – VAT payable 21% | – | €241.50 |
| 01-31 | XXXX – Rent | – | €1,000.00 |
| 01-31 | XXXX – Service costs | – | €100.00 |
| 01-31 | XXXX – Other | – | €50.00 |
Note: put positive amounts under Debit and negative amounts under Credit.
Tip: you can post the journal entry per month, per quarter or per year. Choose what suits your bookkeeping best.
Posting the batch payments
OWNER Pay pays out rent received to your bank account in bundles: a batch payment. You see them under Financial > Payouts. Here's how to post them:
- Post the total amount of the batch payment to the OWNER Debtors ledger account.
- This clears the outstanding debtor items.
