Inspections (*under development)
Easily conduct inspections by entering them directly from the OWNER and sharing the reports, for instance, with your tenants or service providers.
What is it?
With the inspection capability within OWNER, you can carry out digital inspections, such as move-in and move-out inspections, interim inspections, or technical inspections of your building.
An inspection is a standalone item that you can link to a rental agreement, service contract, unit, or installation. Inspections can have various stages, such as "To Be Carried Out," "Scheduled," and "Completed." You can create different types of inspections through the OWNER settings and specify the corresponding inspection points.
Consider the following types of inspections:- Start of a rental agreement
- End of a rental agreement
- Interim inspection
- Technical building inspection
- Cleaning inspection of the building
Why do I need this?
With the inspection module, we aim to improve often-neglected or poorly performed inspections and simplify the inspection process itself. This feature ensures that inspections aren't overlooked, enabling digital execution, storage, and sharing - like directly with tenants.
How does it work?
You start by creating a new inspection and selecting the phase it is in; for instance, "To Be Scheduled." If the execution date is already known, you can immediately place it in the "Scheduled" phase.
When creating the inspection, we ask who is responsible for it so that this team member can be alerted and reminded.
Once you've created an inspection, you'll be directed to the inspection overview page. On this page, you'll see all the entered details on the left, and on the right, the items linked to the inspection. In the center, you can attach tasks, notes, and emails to the inspection.
An inspection to be carried out is created in the "To Be Carried Out" phase, ensuring it isn't forgotten. If you've designated a team member as responsible, they'll receive a notification about a new inspection assigned to them. Once the responsible individual has scheduled the inspection, possibly in consultation with a tenant, it can be moved to the "Scheduled" phase.
On the day of the inspection, take your phone or iPad with you to access OWNER. Go through the inspection points digitally and, if desired, add photos directly from your device. Once the inspection is completed and possibly linked with another party, like a tenant, you can have the inspection report emailed immediately after signing. At the end of the inspection, you'll be asked if it can be moved to the "Completed" phase.
The inspection is neatly stored and linked to the corresponding item and can easily be retrieved in the future.
